GUIDELINES & INFORMATION FOR SPEAKERS, CHAIRPERSONS AND POSTER PRESENTERS
ORAL PRESENTATIONS
Speaker Ready Room:
Located at the Meeting Room Alcazar, close to the Segovia Main Lecture Halls
Opening Hours Speaker Ready Room:

Wednesday 4 October: 15:00h - 19:00h.

Thursday 5 October: 07:00h - 18:00h.

Friday 6 October: 07:00h - 18:00h.

Saturday 7 October: 07:00h - 18:00h
If you are a Chairperson:

Please locate your session room in due time, at least 15 minutes prior to the beginning of the session.

We may remind you that speakers need to strictly observe the time schedule.

Microphones for discussants will be available in each session room.

Participants in the discussion should not speak before they are recognized by the chair and must first clearly state their name, institution and country of origin.
If you are a Speaker in a session:
-
Please locate your session room in due time, at least 15 minutes prior to the beginning of the session.

Speakers must deliver and view/check their PowerPoint presentations at the Speaker Ready Room - Meeting Room Alcazar, at least 2 hours prior to the beginning of the respective session, or the day before in case that you are one of the first speakers at the session.

Technical staff will be available in the Speakers Room/Preview Room to assist you with loading your presentation.

Presentations must be prepared in PowerPoint (MS Windows) format 16:9. and provided on a USB removable drive.

Failure to check in presentations on time may result in them being unavailable for projection when required.

Presenter Mode will be available at the podium.

Presentations will be transferred from server to the session room electronically.

Speakers are not permitted to take PowerPoint presentations directly to the technical control desk in the session lecture hall.

The use of personal laptops for presentations in the session is strictly prohibited for the Free Paper sessions.

The use of personal laptops for the main sessions could be exceptionally allowed, but this must be notified by the speaker at the Speaker Ready Room and the presentation must be tested before the session starts (the day before, during the coffee breaks etc) in order to avoid any problem live during the connection.

Please note that presentation time is strictly limited, no exceptions.

Microphones for discussants will be available in each session room.

Protection of copyright will be guaranteed.
POSTERS

The poster area is located in the Foyer of the Lecture Halls and close to the Exhibition area and will be very well indicated.

Any disclosure to be made should be stated in your poster by showing the enclosed disclosure slide.

The poster should be prepared in portrait format and should not exceed the following maximum dimensions: Length 140 cm, width 90 cm.

Fixing materials will be available in the poster area. Please use only the fixing materials made available by the poster exhibition staff in order to avoid damage on the poster board.
Poster Fixing time:

Wednesday 4 October 2023: 16:00 –18:00

Thursday 5 October 2023: 08:00 – 10:00
Poster Removal time:
-
Saturday 7 October 2023: 17:30 – 19:00
Posters not removed by 19:00h on Saturday 7 October 2023 will be removed and disposed of by the staff.
